Short Course Committee

What is the Purpose

The Short Course, titled Native Peoples of the Southwest, is a four-session course presented by the Heard Guild.  The aim is to promote respect for American Indians and an appreciation of their art and culture.  The Short Course is offered three times a year: in October at Heard West, in January at Heard Central, and in March as Heard North.  There is a facilitator for each of these three offerings.  The job of these facilitators is to promote the program, recruit the students, and handle all the arrangements needed to facilitate conducting the Short Course.

What is Involved

The planning of the Short Courses is a collaborative effort involving the Museum’s Educational Services Manager, the Guild’s Coordinator of Museum Education, two instructors, and three facilitators.

What are the Committee Tasks

Conduct the series of four half-day sessions three times a year–once at Heard Central, once at Heard North, and once at Heard West.

Publicize the Short Courses.

  • Announce at the Guild’s general meetings.
  • Submit articles about the courses to Artifacts, Noticias, and Earth Song. 
  • Design and print a promotional flyer. Arrange for a mailing by the Museum Membership Manager and other appropriate distribution. 
  • Ask the Museum’s Director of Marketing to place announcements local newspapers.

Register students and collect tuition fees.  There are three levels of tuition for the course. 

  • the price for Guild members is $40.
  • the price for Museum members is $50.
  • the price for non-members is $60.

Active Las Guias members and those on leaves-of-absence may attend free of charge.  Membership applications are given to all non-members and, to qualify for the lower tuition fees,  are encouraged to join the Museum and the Guild. 

Submit tuition and membership fees to the Guild Treasurer.

What are the Facilitator Tasks

Prepare and duplicate class material, i.e., a notebook and handouts.

Make room arrangements with the Museum’s Event Sales Manager at Heard Central or with the appropriate persons at Heard North and Heard West. 

Arrange for necessary audio-visual aids as requested by the instructor.

Provide coffee, hot water and other refreshments for class sessions one, two, and three..

Attend all classes, take attendance, and provide assistance to the Instructor and class members as needed. 

Clean up after each class and return supplies and utensils to appropriate storage areas.

Schedule a guided tour of Home: Native Peoples of the Southwest and Highlights at Heard Central with the Museum’s Tour Coordinator for participants during the final class session.

Conduct a tour of the Heard Museum for the participants.

What is the Time Line

Three months before each class

  • Reserve the rooms needed.
  • Design and print a flyer to be mailed to prospective participants.
  • Write and submit an announcement for Artifacts and Noticias.
  • Contact the Museum’s Director of Marketing about getting announcement in the local newspapers and in Earthsong.

Two months before each class

  • Contact the Museum’s Associate Membership Manager to arrange the mailing of fl  yers to members in the Phoenix area.
  • Contact the Museum’s Event Sales Manager about room arrangements and set up. 
  •  Write and submit an announcement for Artifacts and Noticias.
  • Begin to register participants.

One month before each class

  • Update and compile notebooks.

The month of the class

  • Inventory necessary supplies (cups, paper plates, napkins, coffee, etc).  Purchase what is needed.
  • Purchase necessary perishable supplies and refreshments. 
  • Submit receipts to Guild Treasurer.
  • Notify the Museum’s Tour Coordinator of the dates for the Museum tours.
