Tourism Outreach Committee
What is the Purpose
The Tourism Outreach Committee is a public relations arm of the Guild. The purpose of this committee is to reach out to the many hotels, resorts, motels, galleries, chambers of commerce, and visitors bureaus throughout the valley and bring them information on a monthly basis about the programs and events of the Heard Museum.
Who is Involved
This is a joint committee with members from both the Museum staff and the Guild. The staff members are the Director of Marketing Communications and the Customer Relations Manager. The Chair of the Tourism Outreach Committee, with the assistance of the Community Programs Coordinator, is appointed by the Guild President. The rest of the committee is composed of 16-20 Guild volunteers who are responsible for delivering information about the Heard Museum’s programs and events to over 190 locations on a monthly basis.
What are the Tasks
Attend a monthly committee meeting (September-May) held at noon on the last Monday of the month at Heard Central. At this meeting:
- The Director of Marketing Communications gives an overview of the upcoming month at Heard Central, Heard North, and Heard West.
- Committee members submit any name changes, deletions, and/or additions to the relevant businesses in their area along with ideas for additional materials that might entice visitors to attend Heard events.
- The Customer Relations Manager incorporates the changes in the roster of business contacts.
- The Committee discusses ideas on how to improve and enhance the Committee’s efforts and/or the marketing program.
- Committee members receive information packets prepared by the staff for distribution.
Assign each committee volunteer to an area near their home. Hotels, resorts, motels, etc. are divided by geographic area. New areas are added as the Phoenix metropolitan area expands. At present, these areas are:

Distribute information packets in an assigned area. On the day of the monthly committee meeting, or during that same week, each volunteer visits the locations in their assigned area to distribute Heard material.
Be informed about Heard activities and events and project a pleasant attitude while distributing materials. Knowledge and a smile are essential when promoting the Museum.
Participate in the annual Guild Job Fair to recruit new committee members.
Acknowledge, by thank you note or other means, appreciation for the work done by the volunteers.
What is the Suggested Time Line
September through May
Tourism Outreach Committee monthly meetings.

Job Fair at the October Guild meeting.
Currently, one volunteer is needed in each of the following areas:Arrowhead South Glendale Carefree/Cave Creek
This is a fun committee and people tend to remain for several years.
