General Food Chair
What is the Purpose
The General Food Chair supplies all the utensils and supplies necessary to set up the following food booths at the Indian Fair & Market: American Foods, Fry Bread, Indian Foods, Mexican Foods, Snack Food, and Soft Drinks. In addition, the General Food Chair purchases and has available all the food and paper supplies needed to operate those food booths. The Food Chair will also assist the Area Chairs, when necessary, with the set up and operation of their booths.
Who is Involved
The General Food Chair is appointed by the Chair of the Indian Fair & Market. The Food Chair may, in turn, select a Co-Chair to assist. Logistically, the Food Chair coordinates closely with the Museum’s Custodian and Maintenance Supervisors. During the Fair, 3-4 additional volunteers may be recruited to help secure and deliver supplies to the various food booth locations.
What are the Tasks
Submit a line-item budget to the Indian Fair & Market Chair.
Select Area Chairs for the American Foods, Fry Bread, Indian Foods, Mexican Foods, Snack Food, and Soft Drink booths.
Attend all Indian Fair & Market meetings called by the Fair Chair.
Assist Area Chairs in selecting menus and setting prices.
Inventory equipment and arrange necessary purchases.
Order supplies and food for the food booths.
Consult with the Indian Fair & Market Chair and the Staging and Signage Chairs about booth and sign needs.
Negotiate contracts and make arrangements with sub-contracted food vendors, i.e., Gelato, Kettle Corn, Roasted Corn, etc.
- Consult with the Indian Fair & Market Chair and the Staging and Signage Chairs about booth locations, power and water hook ups, and sign needs.
- Submit copies of all contracts to the Guild Treasurer who can and will sign all contracts.
- Consult with the Guild Treasurer regarding payment to vendors and verification of funds owed.
- Recruit volunteers, if needed, and submit volunteer list to the Volunteer Placement Chair for badges to be made.
Submit all purchase requests and expense vouchers (with receipts) to the Guild Treasurer.

Consult with the Museum’s Facilities Manager concerning all Museum staff needs.
Arrange to have all Fair equipment and supplies to be brought from offsite storage to the Encanto Room the weekend prior to the Fair.

Inventory equipment and supplies after Fair and pack for storage.
Review the Area Chairs ‘ reports and submit them with a summary report, written using the Sample Committee Report Format as a guide, to the Chair of the Indian Fair & Market.
