Indian Food Chair

What is the Purpose

The Indian Food Chair is responsible for maintaining a booth at the Indian Fair & Market where Indian food items are prepared and served as a fund raising effort, as a service to Fair visitors, and as an addition to the Fair’s festive atmosphere.

Who is Involved

The Chair of Indian Food is an Area Chair selected by the General Foods Chair.  The Indian Food Chair may select from one to three co-chairs to help share the workload.  They, in turn,  recruit 20-30 volunteers to help during the Fair.  They also use the services of contracted Indian cooks to oversee  the Indian food preparation and demonstrate the preparation of Piki Bread..

What are the Tasks

Recruit volunteers to assist from Friday through Sunday with booth set-up, food preparation, serving, and booth cleanup. 

  • at least 10 are needed for the meat cutting day.
  • there are two shifts of approximately 4 hours each per day.
  • between 6 and 8 volunteers are needed per shift.
  • at least 1 volunteer is needed per shift to sell Piki Bread.
  • volunteers do not need to be Museum or Guild members.

Submit a copy of the volunteer list to the Volunteer Placement Chair for badges to be made.

Consult with the Volunteer Placement Chair if additional volunteers are needed.

Make sure that at least two people in the booth hold a Food Handler’s Permit issued by Maricopa County.  It is necessary that a permit holder be in the booth at all times.  Testing sites are located at:

Attend all Indian Fair & Market meetings and those called by the General Food Chair. 

Coordinate closely with the General Food Chair who will supply all equipment, supplies, and food for the booth.

Consult with the Fair Chair and the General Food Chair to determine the menu and to set the food prices.

Consult with the Signage Chair to determine sign needs.

Review the proposed list of equipment supplied by the General Food Chair and confirm the number of tables, risers, and chairs needed.

Submit to the General Food Chair a drawing of the booth floor plan showing the placement of tables, refrigerators/freezers, roasters, grills, wash station, etc. to be submitted to the Chair of Staging.

Review the list of cooking supplies and food provided by the General Food Chair and confirm what is needed.

Confer with the Food Workers Chair to confirm the services of contracted Indian cooks from Thursday prior to the fair until the end of the Fair on Sunday.

  • some to demonstrate the preparation of Piki Bread.

Confirm volunteer commitments and verify their schedules.

Begin food preparation on Thursday prior to the Fair.  Meet is cut, beans and wheat are soaked, and blue corn chips are packaged..

Set up booth and Piki Demonstration area on Friday prior to the Fair. 

  • Check out needed equipment, supplies, and food from the General Food Chair.
  • Set up should be completed in time for the Health and Fire Inspectors visits.

Prepare and serve food.  All food is purchased with scrip tickets sold at the Scrip Sale booths.

Retain all scrip tickets in the bucket provided by the Scrip Sales Chair.  They will be collected periodically by Scrip Sales to determine the income from each food booth.

Clean all equipment and return it, along with unused supplies and unsold food, to the General Food Chair at a designated location on Sunday at closing.

Submit any expense vouchers (with receipts) to the Guild Treasurer for payment. 

Acknowledge, by thank you note or other means, appreciation for the work done by the volunteers.

Prepare and submit to the General Food Chair a written report using the Sample Committee Report Format as a guide.

November

Begin recruiting volunteers.

January
