Library & Archives Committee
What is the Purpose
The Library & Archives Committee works under the direction of the Heard Museum’s Library and Archives Director to assist in the many tasks necessary for a fully functioning library.
Whose is Involved
The Library and Archives Chair is appointed by the Guild President with the assistance of the Museum Services Coordinator. The Chair serves as a liaison between the Library and Archives Committee and the Guild’s Museum Services Coordinator. The Chair also recruits and helps to coordinate the work of 20-25 library volunteers who work under the direction of the Library’s Director.
What are the Tasks
1. The Committee Chair
Consults regularly with the Library and Archives Director about information to share with the Guild’s Museum Services Coordinator.
Consults with the Guild’s Museum Services Coordinator who is a liaison between the Guild Board and Library and Archives Committee.
Prepares a monthly report for the Museum Services Coordinator including information about the activities of the Library, the Library Committee, and any questions or issues that need to go to the Board.
Assist in coordinating the work of the library volunteers.
Recruits library volunteers at the annual Job Fair in October.
Coordinates the volunteers who provide refreshments for the March Guild meeting.
Submit, in April, the list of the library volunteers added between April 1 and March 31 that will be printed in the Spring Luncheon program.
Acknowledge, by thank you note or other means, appreciation for the work done by the volunteers.
2. The Committee Members
Library volunteers work on a variety of tasks and projects under the direction of the Library Director and staff. Schedules vary for library volunteers. Some volunteer twelve months of the year; others come from September through May. Many come one day per week; some more frequently. These volunteers:
- analyze, sort and document all donations to the Library.
- label recent arrives to the Native Film Library.
- assist in maintaining all of the collections, which include:
- 30,500 books
- 300 current periodicals plus 1,500 titles of back issues
- hundreds of auction and dealer catalogs
- biographical information on over 23,500 Indian artists
- 88 linear feet of pamphlet files arranged in 1,000 broad topics
- archives containing 300,000 photographs and 100 linear feet of manuscripts
- 650 sound recordings
- 750 videos
- thousands of 35mm slides
- 200 linear feet of institutional records (Board minutes, guild scrapbooks, etc.)
(Note: It is not necessary for volunteers to have a library background.)
What is the Time Line
September through April
Submit monthly report of Library news and/or concerns to the Museum Services Coordinator.
Recruit volunteers for the Library.
October
Participate in the Guild Job Fair to recruit new library volunteers.
March
Coordinate the hospitality for the March Guild meeting.
April
Submit the list of new volunteers in April to the Spring Luncheon Committee.
