Signage Chair

What is the Purpose

The Signage Chair is responsible for determining, suppling, and installing the signs needed for the Indian Fair & Market.  The Chair maintains a sign inventory, orders new signs as needed, and installs  the signs in their proper locations for the Fair.

Who is Involved

The Signage Chair is appointed by the Chair of the Indian Fair & Market.  The Signage Chair selects a Co-Chair.  The Co-Chairs then recruit 5-8 volunteers to help with the installation and removal of signs at the Fair.

What are the Tasks

Prepare and submit a budget estimate to the Fair Chair.

Recruit volunteers to assist with the installation and removal of signs at the Fair.

Maintain an inventory of relevant and usable signs.

Attend the General Fair meetings with all the Division and Area Chairs.

Solicit from the Fair Chair, Division Chairs, and Area Chairs their need for new or altered signs.

Order new signs as needed.

Purchase the tools and supplies needed for the installation of signs.

Confirm volunteers commitment and verify their schedules.

Submit the list of volunteers to the Volunteer Placement Chair for badges to be made.

Assemble tools, ladders, and supplies and lay out and organize signs on Monday and Tuesday of Fair week.

Pinpoint the proper locations of signs by using a map of the grounds and photos from previous years and begin installing signs on the Wednesday of Fair week.

Remove signs after the Fair, pack them in the storage box nicknamed “the coffin”and return them to the Museum basement for use the following year.

Submit expense vouchers (with receipts) to the Guild Treasurer for payment.

Acknowledge, by thank you notes or other means, appreciation for the work done by the volunteers.

Prepare and submit four copies of the annual Signage Chair Report to the Indian Fair & Market Chair using the Sample Committee Report Format as a guide.   These reports will be distributed to the incoming Indian Fair & Market Chair; Signage Chair; and President.  One copy will be filed in the Museum’s Library and Archives.

What is the Suggested Time Line

August

Submit a budget estimate to the Guild Treasurer.

November

Attend the General Fair meeting with the Division and Area Chairs.
Ask Division and Area Chairs to identify and communicate their sign needs.
Begin recruiting volunteers.

January

Attend the General Fair meeting with the Division and Area Chairs.
Order new signs as needed.

February

Confirm volunteers commitment and verify their schedules.
Submit list of volunteers to the Volunteer Placement Chair so badges can be made.
Purchase tools and supplies needed to install signs.
Assemble tools and organize signs for installation.

March

Install the signs.
Remove, pack, and store signs for next year.
Prepare and submit written report to the Chair of the Indian Fair & Market.
