Membership Communication Committee

What is the Purpose

The Membership Communication Committee welcomes every new member is a personal way and helps them get involved with the Guild.

Who is Involved

The Chair of the committee is appointed by the Guild President with the assistance of the Membership Services Coordinator.  He/She, in turn, recruits 2-3 volunteers to assist.

What are the Tasks

Obtain the names, addresses, and telephone numbers of all new Guild members from the Chair of the Membership Committee.

Welcome each new member personally and extend an invitation to attend the next Guild meeting and/or event.  Arrange to meet them, attempt to learn something about their interests, and introduce them to other members.

Collect a $7.00 fee from those who want a name tag.  Order the tag and have in mailed to them.

Supply each new member with an information packet which may include:

  • a copy of the current Guild Directory.
  • a listing of volunteer opportunities such as the “Committees are Fun” handout.
  • a copy of the current issue of Artifacts.
  • a copy of the latest issue of Earthsong.
  • rack cards for upcoming events.
  • a copy of the calendar of events.

Look for opportunities to include new members in social activities and events.

Acknowledge, by thank you notes or other means, appreciation for the work done by the volunteers.

Attend the Notebook Turnover Meeting in early May and submit, in quadruplicate, the annual Membership Communication Committee Report using the Sample Committee Report Format as a guide.  These reports will be distributed to the incoming Membership Communication Committee chair; Membership Services Coordinator; and President.  One copy will be filed in the Museum's Library and Archives.

What is the Suggested Time Line

September - April

The work of the Membership Communication Committee is on-going throughout the year.

May

Attend the Notebook Turnover Meeting.
Submit notebook and four copies of the Membership Communication Committee Annual Report at the turnover.
