Tee Shirts Chair
What is the Purpose
The T-Shirt Chair coordinates the design, production, and merchandising of the official Heard Guild Indian Fair & Market T-shirt.
Who is Involved
The T-Shirt Chair is appointed by the Indian Fair & Market Chair. The T-Shirt Chair may select a co-chair to assist. The Co-Chairs, in turn, recruit volunteers to help sell the T-Shirts at various Guild functions, including the Indian Fair & Market.
What are the Tasks
Prepare and submit a line items budget to the Chair of the Indian Fair & Market.
Confer with the Fair Chair to determine the theme and to select the Fair artist.
Assist in negotiating with the selected artist to create an image which will be featured on the Fair merchandise.
Consult with the Museum’s Director of Marketing once the image is selected because, as the signature logo, it will be used in all the publicity for the Fair.
Arrange for the completed image to be photographed and digitally prepared for printing.
Negotiate with a company to produce merchandise with the selected image determining:
- the selection of items to be produced, i.e., T-shirts, sweat shirts, totes, etc.
- the price list for the items selected.
- the sizes and quantities to be ordered.
- the delivery deadline for the merchandise.
Recruit volunteers to assist in selling the merchandise at various Guild functions.
Attend the General Fair meetings with the Division and Area Chairs.
Schedule the dates for the showing and sale of the merchandise.
- Traditionally, the first showing and sale is at the December Guild function.
- Traditionally, the Fair artist is the featured speaker at the December function.
- Typically, the merchandise is sold at each of the following monthly Guild meetings and at other functions as seen fit.
Arrange for cash boxes, start up bank, and deposits with the Guild Treasurer whenever merchandise is sold.
Confer with Fair Chair, Staging Chair, and Signage Chair concerning booth and sign needs at the Fair.
Submit copy of volunteer list to the Volunteer Placement Chair for badges to be made.
Arrange for cash boxes, start up bank, change, and money pickups during the Fair with the Guild Treasurer.
Set up booth on Friday prior to the Fair, display and sell Fair merchandise, and remove all unsold merchandise at the end of the Fair.
Acknowledge, by thank you notes or other means, appreciation for the work done by the volunteers.
Prepare and submit four copies of the annual T-Shirt Chair Report to the Indian Fair & Market Chair using the Sample Committee Report Format as a guide. These reports will be distributed to the incoming Indian Fair & Market Chair; T-Shirt Chair; and President. One copy will be filed in the Museum’s Library and Archives.
What is the Suggested Time Line
