Service Awards Committee

What is the Purpose

The Service Awards Committee compiles the volunteer hours of Heard Museum Guild members; approves or disapproves out-of-museum hours for inclusion in the volunteer hour records; and determines the candidates for Service and Special Awards to be granted by the Board of Trustees. The Service Awards Committee also keep the Museum Administration informed of volunteer service hours since these hours are important to assembling successful grand and sponsorship proposals.

Who is Involved

The Service Awards Committee is composed of Past Presidents, the President, and the President Elect, with the immediate Past President serving as chair.

What are the Tasks

1.   Collects and tabulates volunteer hours

Publicizes the definition of service in the Guild Directory and at Guild meetings.  Service is defined as all types of service to the Museum or the Guild whether performed at the Museum or away including:

  • Museum Shop service, Las Guias tour assignments, Speakers  Bureau presentations, Information Desk assignments, and Library assistance, as well as work on specific Museum or Guild projects;
  • actual time spent at Board meetings, committee meetings, work sessions, etc. relating to a Museum or Guild project;
  • on-the-job training in the Museum Shop, Library, Curatorial Department and at the Information Desk;
  • training time required for maintaining or improving proficiency in any service area, including workshops and continuing education; and
  • estimated telephone time spent by committee chairs on committee related matters.

 - Not included in service is attendance at gallery openings, parties, etc.  Also, since the Las Guias Training Course must be completed prior to guiding and to pursuing an Education Ketoh, it is not considered hours toward a service award.

Provides a Volunteer Record Form in the Guild Directory and makes additional forms available from the Service Awards Chair or in the Guild Room.  While other reporting formats are accepted, the Volunteer Time Record forms are preferred..

Asks members to submit a record of volunteer hours to the Service Awards Chair.

Compiles and totals service hours submitted by the Guild members.

Submits the total number of volunteer hours to the Treasurer and/or the Design, Graphics and Exhibit Department so the “hours” check may be prepared for presentation to the Museum Administration at the Spring Luncheon.

2.  Determines award recipients

Schedules one or more meetings in the spring to review volunteer time records totaled by the committee and to determine the candidates for Service and Special Awards.  The Chair will invite the incoming President Elect to attend these meetings.  Any member of the Guild may submit the names of potential candidates for the Committee’s consideration. 

The following is a list of the available awards:

  • The Service Ketoh shall be awarded to any Guild member who has given 500 hours of service to the Museum and/or Guild.
  • A Silver Bear will be awarded to a Guild member who has given 1500 hours of service.
  • A Gold Bear will be awarded to a Guild member who has given 2500 hours of service.  In addition, the members name will be engraved on the 2500-Hour Service Award plaque in the Guild Room.

Note:  The Silver Bear is to be attached to the Guild badge on the left side, then the Gold Bear is to be attached on the right side in line with the Silver Bear.

  • A Special Achievement Ketoh is given to recognize outstanding and original ideas developed by the person or persons receiving this award.
  • A Special Award will be given to recognize a person for the time and dedication they show to an existing project.
  • Any Guild volunteer who has given 5000 hours of service shall be granted Honorary Membership for life.  A special award (Katsina doll) shall be presented to the honored volunteer at the Spring Luncheon Annual Meeting.  The recipient’s name will also be engraved on the 5000-Hour Service Award plaque in the Guild Room.  The Board of Directors may grant the status of Honorary Membership to any Guild member for exceptional service.
  • An Education Ketoh shall be awarded in accordance with the requirements outlined in the Las Guias Handbook.
  • A Josephine Schupp Award is to be given annually to an outstanding senior guide and an outstanding freshman guide (first year after graduation) in accordance with the requirements outlined in the Las Guias Handbook.
  • The Pat Redinger Memorial Award will be given in memory and respect of Pat Redinger.  It is to be given when earned to a guide or guides who have demonstrated special love and talent in working with children.
  • Advises the President of all award recipients and, with the President, plans the award ceremony at the Spring Luncheon Annual Meeting.
  • Orders Ketohs (service, education, special and President’s), determine any special awards, and selects appropriate gifts to be presented at the Spring Luncheon.  In addition, the Chair will arrange appropriate engravings on the 2500-Hour, 5000-Hour, Education, and Shop plaques.
  • Presents the Service Ketohs at the Spring Luncheon Annual Meeting and designates presenters for all other awards.

What is the Time Line

March

Collect volunteer service hours.  Hours may be submitted any time, but submissions are especially encouraged in March and November.  Any records turned in after April 1 will be credited to the following year.


Early April

Select the service award recipients to provide sufficient lead time to order Ketohs, engravings, and other awards.

April 10    

Relay to  the Treasurer and/or Design Department the volunteer hour totals by April 10 so the “hours” check can be prepared.

May

Present the Service Ketohs at the Spring Luncheon Annual Meeting.
